When you create an account or are invited to join an organization, we collect your name, email address, role designation, organization affiliation, and billing or payment information (if applicable).
We automatically collect information about how you interact with the Platform, including pages visited, features used, timestamps, device type, browser type, IP address, and general location data derived from IP address.
Our customers and their Authorized Users upload and store data through the Platform, including work orders, asset information, full service manuals, maintenance records, photographs, notes, miscellaneous file attachments, and similar operational data. The handling of Customer Data is governed by our Terms of Service and any applicable Customer agreement. If there is a conflict between this policy and the Terms of Service with respect to Customer Data, the Terms of Service shall control.
When you contact us for support or provide feedback, we collect the content of your communications and associated metadata.
We use cookies and similar tracking technologies to maintain sessions, remember preferences, and analyze usage patterns. You can manage cookie preferences through your browser settings; however, disabling certain cookies may limit your ability to use some features of the Platform.
We use third-party tools to record and replay user sessions within the Platform and to monitor errors and performance issues. Session recordings may capture clicks, mouse movements, scrolling, form interactions, and on-screen content displayed during a session. These recordings are used solely for debugging, error resolution, and improving the user experience. Session recordings are not used for advertising or marketing purposes. We implement technical safeguards, including data masking, to prevent the capture of sensitive input fields such as passwords and payment information, though no masking system is perfectly comprehensive. Session recordings are retained in accordance with Section 4 of this Privacy Policy.
We use your information to operate, maintain, and improve the Platform, process transactions, authenticate users, enforce our terms and policies, and provide customer and technical support.
We use your contact information to send service-related notifications, respond to inquiries, and provide updates about the Platform.
We may collect and use aggregated, anonymized, or de-identified data derived from your use of the Platform ("Aggregated Data") for any lawful purpose, including product improvement, analytics, benchmarking, and development of new features and functionality. Aggregated Data does not identify you or any individual. As between FleetLeet and Customer, FleetLeet owns all right, title, and interest in Aggregated Data as further described in the Terms of Service.
We use information to detect, prevent, and respond to security incidents, fraud, and abuse.
We use information as necessary to comply with applicable laws, regulations, legal processes, or governmental requests.
If you use the Platform as an Authorized User under a Customer subscription, your account information and Platform activity may be visible to administrators within your organization.
We share information with third-party service providers who assist us in operating the Platform, including cloud hosting and infrastructure providers, email delivery services, payment processors, customer support tools, and analytics tools. A current list of our subprocessors is available at our subprocessors page. These providers are contractually obligated to protect your information and use it only for the purposes we specify.
We may disclose information if required by law, legal process, or governmental request, or to protect the rights, property, or safety of FleetLeet, our users, or others.
In connection with, or during negotiations of, any merger, acquisition, reorganization, or sale of all or substantially all assets, financing, or similar transaction, your information may be disclosed to prospective counterparties and their advisors subject to appropriate confidentiality obligations and may be transferred as part of the transaction. We will use commercially reasonable efforts to notify you of any such transfer to the extent practicable.
We may share information with your consent or at your direction.
FleetLeet does not sell personal information to third parties, as "sell" is defined under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, "CCPA/CPRA"). FleetLeet does not "share" personal information for cross-context behavioral advertising purposes, as defined under the CCPA/CPRA. We do not have actual knowledge that we sell personal information of consumers under 16 years of age.
We retain personal information for as long as necessary to fulfill the purposes for which it was collected, provide the Platform, comply with legal obligations, resolve disputes, and enforce our agreements. When a Customer subscription terminates or expires, Customer Data is retained for thirty (30) days to allow for export, after which it may be deleted in accordance with our standard retention policies, subject to our backup and archive retention policies.
We implement commercially reasonable administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit (TLS) and at rest, access controls, and regular security assessments. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security.

You may request deletion of your personal information, subject to our legal obligations and legitimate business interests.
You may opt out of non-essential communications at any time by following the unsubscribe instructions in our emails or contacting us directly.

We do not use sensitive personal information for the purpose of inferring characteristics about you, and we do not sell or share sensitive personal information.
The Platform is designed for use by businesses and their authorized personnel and is not directed to individuals under the age of 16. We do not knowingly collect personal information from children under the age of 13 in violation of the Children's Online Privacy Protection Act ("COPPA"), or from individuals under 16 as applicable under the CCPA/CPRA. If we become aware that we have inadvertently collected personal information from a child under the applicable age threshold, we will take commercially reasonable steps to delete such information. We encourage parents and legal guardians to monitor their children's internet usage and to contact us at the address below if they believe a child has provided personal information to us.
The Platform is hosted in the United States. If you access the Platform from outside the United States, you acknowledge that your information will be transferred to and processed in the United States, where data protection laws may differ from those in your jurisdiction.
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Platform and updating the "Last Updated" date. We may also notify you of material changes via email to the address associated with your account. Your continued use of the Platform after changes are posted constitutes acceptance of the revised policy. If you do not agree with the revised policy, you should discontinue use of the Platform.
